Privacy Policy

Last updated: November 4, 2026

This Privacy Policy explains how Clear Note ("Clear Note", "we", "us") handles personal information when you use our Uganda-focused information, profiles, reviews, articles, mini-site, referral, verification and premium services.

It is written for the current application. It is not a substitute for advice about your specific legal position. If you do not agree with this policy, please do not create an account or submit personal information.

1. Information we collect

Depending on how you use Clear Note, we may collect your name, email address, phone number, password hash, profile and business details, profile photo or logo, articles, reviews, ratings, messages, notification preferences, referral activity, credibility activity, payment references, and support enquiries. We may also receive an identity from an enabled Google or TikTok sign-in.

2. Verification documents

Verification applicants may optionally upload an identity document or other supporting material. Do not upload unnecessary sensitive information. Documents are used for verification review, restricted to authorised personnel and retained only as long as reasonably needed for review, disputes, fraud prevention, legal obligations or audit. We do not publish verification documents on your public profile.

3. Public information and user content

Information you choose to publish in a personal profile, business profile, mini-site, article or review may be publicly searchable, copied or shared by other people. Reviews may display your chosen account name and content. Do not publish private contact details, identity numbers, passwords or information about another person without a lawful basis and permission.

4. How we use information

We use information to create and secure accounts, provide profiles and content, process reviews and moderation, handle verification, provide mini-sites and premium entitlements, attribute referrals, maintain the notification and Inbox systems, answer support requests, prevent abuse, process payments, investigate disputes, improve reliability and comply with legal obligations.

5. Payments

Payments are initiated through Flutterwave. Clear Note records transaction references, product, amount, currency, status and payment method returned by the provider. Flutterwave processes card, Airtel Money, MTN Mobile Money and bank-transfer details under its own terms and privacy policy. Clear Note does not request or store your mobile-money PIN or full card credentials.

6. Email, notifications and referrals

We may send account, security, verification, payment, moderation, referral and service messages by email or in-app notification. Optional product and newsletter communications can be managed through your account where available. Referral codes and reward records are used to attribute eligible referrals and prevent duplicate or abusive rewards.

7. AI-assisted tools

If you use an AI writing tool, the text and instructions needed to produce a draft may be sent to the configured AI provider. Review every generated draft before publishing. Do not submit confidential personal information to an AI tool. AI output is not a promise of accuracy, approval, verification or editorial acceptance.

8. Cookies and technical data

Essential session cookies, security tokens and browser storage help authentication, consent and theme preferences work. We may process IP address, browser details, request logs and security rate-limit data to protect the service. Optional analytics are used only when actually configured. See our Cookie Policy.

9. Sharing and service providers

We share information only as needed with hosting, database, email, authentication, payment, AI and security providers; with authorised moderators and administrators; with a business where necessary to handle a review or enquiry; or where required to prevent harm, fraud or unlawful activity. We do not sell personal information.

10. Retention and security

We retain information for the period needed for the purpose collected, account operation, moderation history, payment reconciliation, dispute handling, legal obligations and security. We use access controls, password hashing, CSRF protection, input validation, rate limits and secure payment hand-off. No internet service can guarantee absolute security.

11. Your choices and rights

You may request access, correction, deletion or clarification about personal information, subject to identity checks, public-content responsibilities, legal retention and the rights of others. You may update profile details, manage optional notifications and unsubscribe from newsletters. Contact us through the contact page; we may need to verify the request before acting.

12. Uganda and international processing

Clear Note is designed for users in Uganda. Information may be processed in Uganda or in another country by a service provider. We aim to handle personal data consistently with applicable Ugandan privacy and electronic-transaction requirements, including the Data Protection and Privacy Act, 2019, and any other law that applies to the service.

13. Changes and contact

We may update this policy when the service or law changes. The effective date above identifies the current version. For privacy questions or complaints, use our contact page.
